General Description:
MaGrann Associates is looking for an Operations Administrator to provide direct support of our Ohio Program Operations and Multifamily Existing Building/Design teams. The position is primarily an office based position in our Mt. Laurel, NJ corporate office with limited travel to our Columbus, Ohio office for events.  While supporting the Program Operations team, he/she will be a primary contact for Program participants and will be responsible for the tracking, processing and data entry of all documentation along with disbursement of rebates.  Responsibilities supporting the Multifamily Existing Building/Design team will include data entry of orders and scheduling work, preparation of contracts and tracking project progress.  

Principal Duties:

  • Record, track and process Program applications in company database reviewing all applications to ensure compliance with Program requirements;

  • Communicate and coordinate with other team members to finalize and approve rebates. Disburse rebate checks and record payment information in database meeting program timelines;

  • Prepare and provide reports to participants, clients and team members on a scheduled and ad hoc basis utilizing company database;

  • Update project records in database timely to ensure accuracy and integrity for shared client data;

  • Maintain Program files in shared drives and in database as applicable;

  • Data entry for project specific deliverables in tracking system; create internal notifications to meet deliverable dates;

  • Track the progress of MF Audit and Design projects with client outreach as necessary;

  • Preparation of transmittals and packaging of design drawings for submission to clients; preparation of contracts and tracking receipt/issuance of RFIs and submittals;

  • Scheduling/track site visits each month for a specific project;

  • Respond to participant/client inquiries and requests in a professional, accurate, and timely manner;

  • Assist with special projects as needed or assigned related to Program training including communications;

  • Other administrative support as needed.


The qualified applicant will possess effective verbal and written communication skills to interact with internal and external clients/stakeholders/participants on a daily basis, along with the organizational skills to manage periods of heavy volume and to resolve competing priority conflicts. Position requires experience with Microsoft Office Word, Excel, and Outlook.  Database experience helpful but will train the right candidate. The position is primarily an office based position in our Mt. Laurel, NJ corporate office with limited travel to our Columbus, Ohio office for events.  Hours are standard business hours, however flexibility may be required for some assignments.
